Presentation & Poster Instructions

General information

In the Abstract Notification email you received on February 11, 2025, it is stated what your abstract has been assigned to. This email also contains practical information regarding your abstract, but you can also find all the details below.

Please note that only a selected number of posters have been chosen for a short oral presentation to be presented during the Poster “Walk” Session. The presenter for a Poster “Walk” Presentation would need to bring both a printed poster and a 3-minute oral presentation. Read more below.

Prizes at the Congress

Prizes will be granted at the congress. The award ceremony will take place on 9 May during the Closing Session from 12:30 to 13:00. The following prizes will be given:

  • 2 x Best Oral Presentation
    (Selected from Session 12: Free Communications Session)

  • 2 x Best Poster “Walk” Presentation
    (Selected from the Poster “Walk” Presentation Session)

  • 2 x Best Poster
    (Selected from the physical posters displayed in the Nodia room)

Oral Presentation

Info

Oral presentations will be a part of the Free Communications Session that will take place on:  

Friday, 9 May from 11.00-12.30

  • Your presentation should be in Microsoft PowerPoint, 16:9 format
  • Duration of talk: Your presentation is scheduled to last 10 minutes in total (8 minutes presentation + 2 minutes for questions).
  • Conflict of interest: Please include a Conflict of Interest declaration as the first or second slide.
  • Please bring your presentation on a USB stick to the Speakers’ Preview room, located on the ground floor. 
  • A technician will help you upload the presentation to the computer.  
  • Please inform the technician if your presentation includes sound or video, so this can be tested when uploading your presentation.  
  • Please make sure to upload your presentation at least 1 hour before your session starts.  Presenters of the early morning sessions will be requested to upload their presentation the day before.
  • We do not allow the use of personal laptops for presentations.  
  • At the end of the conference, all presentations will be deleted to secure that no copyright issues will arise. 

Poster "Walk" Presentation

  • Please note that this only applies to a selected number of abstracts. In the abstract notification email you received, it is specified what you have been assigned.
  • Your presentation should be in Microsoft PowerPoint, 16:9 format
  • Number of slides: Max 3-4 slides (excluding conflict of interest)
  • Duration of talk: Your presentation is scheduled to last 5 minutes in total (3 minutes presentation + 2 minutes for questions). 
  • Conflict of interest: Please include a Conflict of Interest declaration as the first or second slide.

Your poster will be available for viewing by participants during all hours of the congress. All participants are encouraged to visit the poster in the breaks and contact the main author during the congress when it is feasible.

Measurements:

Posters should be displayed in portrait style. The maximum size of your poster should be a standard A0:

  • Measurements in centimeters: maximum 84.1 cm wide x 118.9 high
  • Measurements in inches: 1 in. wide x 46.8 in. high

Content and design:

  • All posters should include title, name of authors, institution, city and country.
  • The lettering of the title should be at least 25 mm high and the main text at least 10 mm high.
  • The poster should be easily readable from a distance of 2 meters.
  • The language of the poster should be English
  • The Congress Secretariat provides equipment for setting up the posters on the boards.
  • The Congress Secretariat takes no responsibility for left or damaged posters.

Schedule:

Please note that posters have not been assigned a specific presentation time slot. However, all participants are encouraged to visit the poster during breaks and to reach out to the main author at a convenient time during the congress. 

You can set up your poster from 15 pm on Tuesday, 6 May in the poster room “Nordia” on the 1st floor of the venue. It should remain mounted and available for viewing until 11:00 am on Friday, 9 May.

It must be removed by 14:00 pm on Friday, 9 May. After this time any posters remaining will be disposed of.

A poster combines a visual display on a poster board of the highlights of research with a question-and-answer opportunity. Your poster will be available for viewing by participants during all hours of the congress. All participants are encouraged to visit the poster in the breaks and contact the main author during the congress when it is feasible.

Content and design:

  • The lettering of the title should be at least 25 mm high and the main text at least 10 mm high.
  • The poster should be easily readable from a distance of 2 meters.
  • The language of the poster should be English
  • We recommend printing it as a paper poster (not fabric).
  • The Congress Secretariat provides equipment for setting up the posters on the boards.
  • The Congress Secretariat takes no responsibility for left or damaged posters.
